Ana-Maria Funeral Services is committed to protecting the privacy of the personal information it collects and receives. We are required to comply with the New Zealand Privacy Act 2020 ( "the Act').

Some of the information you provide for our funeral related or other services is regarded as "personal information''. This policy describes how we collect and hold that personal information, how we use your personal information, who we disclose it to, and how you can access or correct the personal information we hold about you.

Collection

To perform our services for you, we require some personal information. The personal information we collect may include your name, address, phone number, email address, date of birth, gender, payment information, and information about your next of kin. Where possible Ana-Maria Funeral Services will collect personal information directly from you or as authorized by you. However, other information about you, or the deceased, may be gathered in conversation and communication with you or your representative, or from publicly available sources, or, when we are required to gather that information by law (e.g. medical causes of death from the doctor/coroner). Should you choose not to provide your personal information or information about the deceased and/or authorise its disclosure, we may not be able to provide you with the services you require.

Storage

Ana-Maria Funeral Services holds personal information in various formats, including electronic and physical forms, on servers, cloud-based storage, databases, and filing systems. We may hold your information indefinitely (unless requested otherwise) for

historical reasons or to provide details to members of family and to provide support to the next of kin at any future family funerals.

We will take reasonable steps to protect and keep secure the personal information we hold. We will also take all reasonable steps to ensure that your personal information is accurate, up to date, complete, relevant and not misleading. The accuracy of your information depends largely on the information you provide. We recommend that you let us know if there are any errors in your personal information, so we can correct it.

Your personal information may be used by us to:

• Provide products and services to you and to communicate with your regarding such services.

• Collect payments.

• Enable our service providers to provide products and services to you (e.g.newspaper notices, venue booking, burial or cremation authorities, etc.).

• To comply with our obligations under law in New Zealand. This includes tax and accounting records, information required by Births Deaths and Marriages (including cause of death), and information about the collection of ashes.

• Any other purpose you have consented to or have authorised.

 

Disclosure

To provide the services you require, as indicated above, your personal information may be disclosed to third party organisations including:

• Other service providers involved in the provision of the services, including florists, caterers, websites for online publications, and other publishers, city or regional councils, crematoria, celebrants and venue providers.

• Regulatory, government and other authorities as required by law.

• Mailing houses, freight and courier services

• Credit agencies, debt collection agencies, our legal, accounting, financial or other professional advisors.

• To any other person or entity to whom you have consented us to disclose your personal information.

• Our website may be used to post and Obituary Notice and/or a link to a video stream of the funeral service. This will only be posted if approval is granted by a person who has the authority to do so.

 

Access and Correction

If the information held by us is incorrect, inaccurate, incomplete or not up to date, then you may ask us to correct the information, and we will either correct the information or make a record of your comment as we think appropriate.
